    What your centre holds about you and your children, and why the phone number and allergy notes matter before the next session.

    One account, all your children

    You changed your number over the summer and cannot remember whether you told anyone at the centre. Worth checking, because staff work from what is on your account.

    Your family has one account, with your children on it. Bookings and invoices attach to the account rather than to each child, so there is one place to look instead of one per child. Centres name that list of children themselves — Students, Members, Children — so the wording on screen varies. It is the same list.

    The contact details staff will actually use

    Confirmations and invoices go to the contact details held on your account. An address you have stopped reading is the usual reason a family misses something.

    The phone number matters more. It is what staff reach for mid-session, when something has happened and an email will not be read in time.

    What your centre needs to know about your child

    Alongside a name and date of birth, centres ask for the things that change how the session runs: allergies, medical conditions, medication, anything staff should watch for. What gets asked varies, because each centre decides what it needs.

    Update these when they change, rather than waiting for someone to ask at the start of next term.

    Emergency contacts

    List someone other than yourself, on a number that gets answered during class times. This is who staff ring when they cannot reach you.

    Tell that person you have listed them. Keep the entry current when numbers or arrangements change — a grandparent who has moved, a new number for whoever does the pick-up.

    Adding another child

    When a second child starts, add them to the account you already have rather than setting up a new one. Bookings and invoices then stay together, and staff can see the whole family at once instead of hunting through two records.

    If you book in more than one place

    Each organisation using Bookingo keeps its own records. Two providers means two sets of details, and changing one leaves the other exactly as it was. Worth remembering when your phone number changes.

    One organisation running several locations is a different case. That is a single account covering all of them, so a change you make applies wherever your children are booked.
